Privacy Policy
This Privacy Policy explains how The Yard Baseball (dba The Yard) ("The Yard", "we", "us") collects, uses and shares information when you visit our website, create an account, book sessions, or train at our facility. By using our website or services, you agree to the practices described here.
1.Information we collect
We collect information you give us, information created when you use our services, and limited technical information.
- Account information: your name, email address, phone number and password.
- Player profiles: each player's name, date of birth, sports, positions, skill level, goals, team, photo (optional) and preferred coach.
- Bookings and payments: the sessions you book, attendance and check-in, and payment details. Card payments are processed by Square; we keep only the card brand, last four digits and expiry, never the full card number.
- Waivers: the name, date of birth and address you give when signing, your typed name and drawn signature, the date and time, and the device and IP address used.
- Training information: coaches' scouting reports and notes, skill assessments, and test results such as sprint times or exit velocity.
- Communications: messages and emails you send us, and your notification preferences.
- Technical information: your browser, device, IP address and pages visited, collected through cookies and similar tools.
2.How we use your information
We use information to:
- create and manage accounts and player profiles;
- schedule, confirm and remind you of bookings, and process payments, refunds and account credit;
- keep signed waivers and safety records, and run the facility safely;
- let coaches prepare scouting reports and track a player's progress;
- send service messages by email or text, such as confirmations, reminders and receipts;
- send news and offers if you have not opted out;
- improve our website and services, and prevent fraud and misuse; and
- meet legal, insurance and accounting obligations.
3.Children's information
Many of our players are under 18. Accounts are created and managed by a parent or legal guardian, who provides and controls their children's information. Children under 13 do not create their own accounts, and we do not knowingly collect personal information directly from a child under 13 without a parent's consent.
A parent or guardian can review, correct or delete their child's information at any time from their account or by contacting us. Players' information is visible only to their family, our staff and the coaches who work with them, except as described under "Leaderboards" below.
5.Leaderboards, photos and video
Leaderboards are off for each player unless a parent (or an adult player) turns them on. When on, a player's first name, last initial, age group and results may appear on our public leaderboards. You can turn this off at any time.
As described in our waiver, we may take photos and video at the facility for coaching and for promotion. You can withdraw consent to promotional use at any time by writing to us.
7.How long we keep information
We keep information for as long as your account is active and as long as needed to provide our services. We keep signed waivers, payment records and safety records for as long as the law, our insurers or our legitimate business needs require, even after an account is closed. When information is no longer needed, we delete or anonymize it.
8.Security
We use reasonable technical and organizational measures to protect your information, including encrypted connections, access controls that limit who can see each family's records, and payment processing through Square so we never store full card numbers. No system is completely secure, so we cannot guarantee absolute security. If we learn of a data breach that affects you, we will notify you as required by law, including New York's SHIELD Act.
9.Your choices and rights
You can:
- view and update your account and player profiles at any time;
- change which emails and texts you receive in your account settings, or use the unsubscribe link in any marketing email;
- turn leaderboards on or off for each player;
- ask us for a copy of your information, or ask us to correct or delete it, by contacting us. We may keep some records we are required to keep, such as signed waivers and payment records.
Depending on where you live, you may have additional rights under local law. We will respond to requests as the law requires.
10.Changes to this policy
We may update this Privacy Policy from time to time. We will post the new version on this page with a new "Last updated" date, and if the changes are significant we will let you know by email or through your account.
